The quality of what you get from AI is directly determined by the quality of what you put in. Most small business owners get mediocre results because they write mediocre prompts. Here is how to fix that.
The elements of an effective business prompt:
Role: Tell AI who it is. “You are an experienced marketing copywriter specializing in small business retail.” Context transforms output quality.
Task: Be specific about exactly what you want. “Write a 200-word email” is better than “write an email.”
Context: Give AI the information it needs. Who is the audience? What is the goal? What is the situation?
Format: Specify the output format. “Use bullet points.” “Write in a conversational tone.” “Provide 3 options.” “Keep it under 150 words.”
Examples: Show AI what good looks like. “Here is an example of the style I want: [paste example].”
Before prompt:
“Write me an email to my customer”
After prompt:
“You are a friendly business owner. Write a 150-word follow-up email to a customer who just received their first order. Goal: thank them, make sure they are satisfied, and invite them to leave a Google review. Tone: warm and genuine, not corporate. End with a PS offering 10% off their next order.”
Practice: Write and save your best prompts. Build a library of prompts that work well for your recurring tasks.
What is the prompt you use most often? Share it and let others suggest improvements.
